Privacy Policy

The Nicolaus Copernicus University in Toruń ("NCU") places particular emphasis on respecting the privacy of users of the website of the Copernican Portal, Nicolaus Copernicus Thorunensis, hereinafter referred to as the "Website." Therefore, NCU implements the following Privacy Policy and encourages each user of the Website to become familiar with it:

1. By using the Website, the user accepts this Privacy Policy.

2. Personal data on the Website may be collected through the following actions:

  • information provided in forms placed on the Website,
  • information collected automatically while using the Website, i.e.:
    • information automatically recorded in server logs and the Website, such as IP address, page request sent by the user, date and time of request, browser type, browser language, device data, operating system type,
    • "cookies" files - small text files sent by the Website to the user's device visiting the Website (e.g. computer, smartphone).

3. Information collected automatically is used for the following purposes:

  • server and Website administration,
  • ensuring the security and protection of data and the Website,
  • providing the user with specific services,
  • adapting the Website to user needs,
  • creating statistics on subpage views of the Website,
  • maintaining a user session (after logging in), so that the user does not have to re-enter their login and password on each subpage of the Website.

4. "Cookies" files are used for the following purposes:

  • ensuring the proper operation of the Website's pages in the user's browser,
  • facilitating user use of the Website and adapting it to user needs,
  • remembering individual user settings and preferences,
  • creating Website statistics to learn about user expectations and to develop the Website to make it easier to reach the most frequently sought information (e.g. through search engine queries).

5. Internet browsers usually allow the storage of "cookies" files on the user's device by default.

6. Examples of "cookies" files and their use on the Website:

  • "Cookies" files used to determine page popularity statistics, number of visits, and distribution of visits over time (Google Analytics: __utma, __utmb, __utmc, __utmz),
  • "Cookies" files set by the application server granted during the first visit to the Website, deleted after a certain period of inactivity or at the end of a set activity on the Website, e.g. leaving the page, closing the browser, logging out (JSESSIONID, LFR_SESSION_STATE).

7. The user has the ability to configure their own web browser to completely or partially disable the storage of "cookies" files on their device. Disabling the storage of "cookies" files may cause some Website features to not function properly.

How to block "cookies" files:

The user can decide whether to save "cookies" files in the browser settings.

  • in Firefox: Options > Privacy
  • in Chrome: Settings > Advanced Settings > Privacy > Content Settings
  • in Internet Explorer: Tools > Internet Options > Privacy (allows you to choose different levels of protection) > Advanced
  • in Opera: Preferences > Advanced > Cookies.

In every web browser, cookie settings are configured separately.

8. When using the Service, some user data may be automatically collected and processed by third-party tools used by UMK. For statistical purposes, UMK uses Google Analytics, which operates on its own "cookies" files. 9. NCU  is not responsible for the privacy policies of external entities, including websites to which it provides links. Users should familiarize themselves with the policies of those entities.

10. NCU makes every effort to protect the Service and the data processed on it, including against unauthorized access by third parties. To this end, UMK applies physical security measures, security systems securing access to servers and the Service, and cryptographic solutions. Personal data is only made available to employees and entities that require it to perform their tasks, and it is processed solely for the purposes described in this Privacy Policy.

11. NCU is the data controller for the data processed in connection with the use of the Service.

12. NCU processes data while complying with the regulations on personal data protection, including the provisions of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation or GDPR).

13. Personal data of users collected for the purposes described in points 3 and 4 of this Privacy Policy are processed on the basis of Article 6(1)(f) of the GDPR and will be processed for the period necessary to achieve the intended purpose.

14. Personal data is transferred to data processing entities on behalf of the data controller in connection with the provision of services to NCU.

15. The user has the right to request from the personal data controller:

  • access to their personal data,
  • their rectification,
  • limitation of their processing,
  • transfer of data to another personal data controller,
  • objection.

16. The user also has the right to lodge a complaint with the President of the Personal Data Protection Office if they believe that the processing of their personal data violates the provisions of the GDPR.
